The other day I received a call from a company who required my services. They needed someone to come in and train a new employee on how to use QuickBooks Desktop. My specialty is training on this software, so I was thrilled to get the call. But, I found it interesting that I only received the call after the free online training had been found to be useless, and the employee was still wondering where to start. This person had no accounting knowledge or prior bookkeeping experience. But, she had been given the opportunity to get up to speed on the program because there were “Free Online Videos”. Everyone just assumed they would be good enough to bring the employee up to speed on the program. Three weeks into the job, the bookkeeping was not getting done, and the free courses online had little real world applications. Just because it is free does not mean it will save you money.
It blows my mind when companies do not realize the importance of a good bookkeeper! I cannot stress enough that if you are going to hire someone to work on your books (whether this is QuickBooks Desktop or QuickBooks Online) it is imperative that they have experience working on this software.
When they see so many free videos online offering help and solutions, they believe that if they sit down and spend the 4-5 hours learning the program from an online tutorial they will be set. This is not the case!
Why is Bookkeeping important?
Bookkeepers are responsible for maintaining complete sets of financial records, keeping track of accounts, and verifying the accuracy of procedures used for recording financial transactions.
It is how the bookkeeper manages and understands the content being entered that is where having the background and training is important. The complexity of an accounting/bookkeeping system often depends on the size of the business and the number of transactions that are completed daily, weekly, and monthly. All sales and purchases made by your business need to be recorded in the ledger, and certain items need supporting documents. You need someone trained in both the software and bookkeeping to manage these tasks. If not you will spend time undoing many jobs you may have spent hours working on.
It is interesting to note that since the advent of the accounting and bookkeeping software, some components of the accounting process have been absorbed into the bookkeeping process. For instance, bookkeeping software is typically capable of building financial statements – blurring some of the traditional lines between the bookkeeping and accounting processes.
Even with software like QuickBooks that can bridge the gap between both bookkeeping and accounting it is even more important to have someone in place who can manage that flow of information. Ideally you want someone who can understand both the bookkeeping tasks and those of what is needed by the accountant.
The process of accounting provides reports that bring key financial indicators together. The result is a better understanding of actual profitability, and an awareness of cash flow in the business. Accounting turns the information from the ledger into statements that reveal the bigger picture of the business, and the path the company is progressing on. Business owners will often look to accountants for help with strategic tax planning, financial forecasting, and tax filing.
Correct financial records are fundamental to the success of one’s business.
It is important for a successful company to hire someone, that has a strong bookkeeping background and an understanding of accounting or at least accounting terms. This will contribute to the long-term financial success of the business.
Organized financial records and properly balanced finances produced by the bookkeeping and accounting processes are both key factors to this success.
Some business owners might want to learn to manage their finances on their own and I train people to do that.

There are solutions to both sides of the coin, but trying to do it with little knowledge and free videos, will only end in more work!
